The Reservations & Commercial assistant - based in Peru from quote to confirmation, manages rates and availability, updates passenger data, supports sales and market research, and maintains communication with guests, suppliers, and internal teams.
KEY OUTPUTS:
Responsibilities
- Handling reservation requests from either e-mail, telephonic or fax.
- Processing of reservations from quote to finalising, including reservations, invoicing, collecting of payment and travel documents.
- Maintain rates and availability in siteminder.
- Check accurate information in online platforms.
- Quote and make reservations via telephone, emails and online in due time.
- Weekly follow up on quotes for FIT and groups.
- Weekly update passenger data in access for upcoming guests.
- Maintain updated database in Maximizer.
- Sales calls follow up emails when needed.
- Assist Commercial Manager in market researches.
- Support in the preparation of reports and market analysis.
- Weekend reservations shifts.
- Visit local DMCs, and trade clients abroad if required.
- Interaction with guests, telephonically and via email.
- Interaction with colleagues, guests and suppliers.
- Backup for colleagues when they are away from the office.
- Expanding product knowledge through attending training sessions.
- Upholding the values of &Beyond ... Care of the people, Care of land and Care of the wildlife.
- Effectively communicate and follow up with South America Reservations team members.
- Provide timely feedback to South America Reservations team.
- Work within the broader &Beyond sales CRM system.
- Generate monthly reports in line with central reporting standards, timeframes and guidelines
Finance
- Send deposit and payments reminders to guest and travel agencies.
- Make sure payments are updated.
- Charge credit cards from guests and record payments in system.
EXPERIENCE REQUIRED:
- Sales and luxury tourism product experience preferred
- Willingness to work in a global team of professionals.
- Route planning management and strong knowledge of key regions across Peru.
- Experienced in using Tourplan.
- Energetic, proactive person with well-developed concept of the importance of providing a world-class guest experience and the ability to provide that experience.
- Lateral thinking ability.
- Initiative.
- Must be able to cope under pressure to meet guests’ needs.
- Attention to detail.
- Diligence and self-motivation to meet deadlines.
- Willingness/ability to share information and teach and inspire others.
- Fluent in written and spoken English.
QUALIFICATIONS:
- At least 3 years relevant experience/ Diploma
