Minimum Essential Skills/Knowledge:
- 2 - 3 years’ experience in a professional high-pressure environment
- Attention to detail
- High level of accuracy while working under pressure
- Good understanding of medical aid and PMB rules
- Good understanding of the POPI Act regulations for healthcare
- Ability to build and maintain good relations with all stakeholders (referring doctors, matrons, ward nurses, providers, and internal staff)
Preferred Skills/Knowledge:
- 1 - 2 years in a medical environment
- Previous experience in a Radiology environment

Purpose of position:
Receiving patients in a friendly and welcoming manner, capture and/or update their information on the system, provide quotes for exams, take co-payment/short or private payments, provide info for the preparation of exams, handle queries, print patient reports.
Shift rotation on a weekly basis: 07h00 – 16h00, 7h30 – 16h30, 08h00 – 17h00, 08h30 – 17h30 & 09h30 – 18h00
Weekend Overtime – every 4th weekend:
Sat: 08h00 – 18h00 (time off given the morning and OT payment for afternoon). Sun: 08h00 – 18h00 (paid as OT)
Key Work Output & Accountabilities:
- Acknowledge patients with warmth and friendliness, showing empathy where needed
- Capture all patient info correctly, checking info as you type (must be able to capture at least 6 patients per hour)
- Check medical aid benefits
- Do quotes for all exams and take co-payments/short payments by medical aids
- Ensure you understand and follow the protocol for emergency patients
- Ensure T's and C's are signed for all patients
- Book patients for CT & MRI scans and provide prep info for CT & MRI exams
- Ensure blood tests are done for all CT contrast patients over the age of 50
- Obtain Authorization for all examinations. Specifically via UMS & medical aid systems for all CT & MRI exams as well as ultrasound guidance examinations when needed, normal working hours or working After Hours/on Public Holidays
- Process payments for all private patients, walk-in or in-hospital patients
- Allocate payments to invoices
- Obtain and scan in all relevant WCA documents for workplace injuries/diseases
- Scan and attach all relevant documents to the correct patient profile
- Assist in resolving telephonic enquiries
- Always remain vigilant and mindful of waiting patients,regularly give feedback / updates to them
- Maintain an up-to-date knowledge of medical aid rules, and ensure you understand and adhere to POP UP (warning messages) on the system
- Work hand in hand with the Radiography Team Leader and Head Office staff to ensure an efficient and affective workflow between all departments
- Build and maintain, good collaborative and professional relationships and communication with all staff and stakeholders
