Role Overview

The Administrative Assistant provides essential support to ensure the smooth and efficient operation of the department. This role involves handling daily office tasks, coordinating communication, supporting management and operational teams, and ensuring high levels of service delivery.

Key Responsibilities

  • Manage and organize office operations
  • Answer phone calls, emails, and handle correspondence professionally
  • Ensure an extraordinary guest experience through preparing snack packs and guest delight stops
  • Support the Manager and team members with administrative duties
  • Maintain office supplies and coordinate with vendors
  • Ensure confidentiality and accuracy in all administrative work
  • Perform emergency phone duty on a rotational basis
  • Print and check guests’ travel documents (PTJ)
  • Manage and check guides’ tax invoices on the Travelit app and ensure hard copies are filed
  • Assist with scheduling and checking movement reports, ensuring outsourced services are booked
  • Print movement reports and name boards weekly

Monthly Responsibilities

  • Conduct stock take of all PTJ stock and submit stock sheet to the Touring Support Team
  • Assist with amending tour plans for outsourced tours and transfers
  • Upload and submit tax invoices for drivers and guides on Travelit for approval

Required Skills and Qualifications

  • Matric certificate
  • 2-3 years administration experience
  • Administration experience in Tourism and hospitality is an added advantage
  • Strong organizational and time-management skills
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Word, Excel, and email systems
  • High attention to detail and strong problem-solving ability
  • Ability to multitask and work independently as well as within a team
