will enable you to fulfill the following duties:
People
- Proactively manage client and advisor communication and queries;
- Process client and advisor requests;
- Interact with clients, staff and other stakeholders;
- Regular interaction with clients, fellow-employees, business management and LISP’s to ensure the effective delivery of communication and administrative requirements.
Procedures
- Load new clients in the CRM system;
- Collect mandate documentation and ratings;
- Compliance and risk management (maintain register of high risk clients – FICA);
- Client screening;
- Review/complete a CDD (client due diligence) on all exciting and new clients;
- Maintain email communication distribution lists (Correl8);
- Follow up on queries, outstanding information and incomplete documentation;
- Client service related duties;
- Investigate discrepancies (reconciliation of Naviga systems and reports according to LISP data);
- Assist teammates with administration issues;
- Update and maintain database;
- Remove (or indicate inactive) client detail for inactive investments picked up;
- Monitor client folders on the CRM system;
- Prepare management reports (AUM and AUA reports);
- Prepare, distribute and process investment instructions (switches; initial, rebalancing and portfolio changes);
- Perform general duties to include, but not limited to, copying, mailing and filing of organizational documents and records;
- Open, sort and distribute incoming correspondence; post and email;
- Answer all incoming calls promptly and politely; assess caller’s requirements; transfer calls; take messages; deliver messages to the relevant staff member timeously;
- Implement model portfolio changes;
- Monitor deviations from the model portfolios;
- Restructure a client’s portfolio if it is not aligned with the model portfolio;
- Linking of Advisors;
- Register new model portfolios;
- Prepare quotations on a platform;
- Assist advisors with model portfolio switches, mandates and general administration.
Processes
- Follow internal procedures as per the administrative procedure guideline;
- All administrative duties must be executed within turnaround times;
- Ensure that the principles of FAIS and FICA are applied.
- Use the CRM system;
- Use the platform portals;
- Full working knowledge of Microsoft Office, including Word and Excel.
