will enable you to fulfill the following duties:

 

People

  • Proactively manage client and advisor communication and queries;
  • Process client and advisor requests;
  • Interact with clients, staff and other stakeholders;
  • Regular interaction with clients, fellow-employees, business management and LISP’s to ensure the effective delivery of communication and administrative requirements.

Procedures

  • Load new clients in the CRM system;
  • Collect mandate documentation and ratings;
  • Compliance and risk management (maintain register of high risk clients – FICA);
  • Client screening;
  • Review/complete a CDD (client due diligence) on all exciting and new clients;
  • Maintain email communication distribution lists (Correl8);
  • Follow up on queries, outstanding information and incomplete documentation;
  • Client service related duties;
  • Investigate discrepancies (reconciliation of Naviga systems and reports according to LISP data);
  • Assist teammates with administration issues;
  • Update and maintain database;
  • Remove (or indicate inactive) client detail for inactive investments picked up;
  • Monitor client folders on the CRM system;
  • Prepare management reports (AUM and AUA reports);
  • Prepare, distribute and process investment instructions (switches; initial, rebalancing and portfolio changes);
  • Perform general duties to include, but not limited to, copying, mailing and filing of organizational documents and records;
  • Open, sort and distribute incoming correspondence; post and email;
  • Answer all incoming calls promptly and politely; assess caller’s requirements; transfer calls; take messages; deliver messages to the relevant staff member timeously;
  • Implement model portfolio changes;
  • Monitor deviations from the model portfolios;
  • Restructure a client’s portfolio if it is not aligned with the model portfolio;
  • Linking of Advisors;
  • Register new model portfolios;
  • Prepare quotations on a platform;
  • Assist advisors with model portfolio switches, mandates and general administration.

Processes

  • Follow internal procedures as per the administrative procedure guideline;
  • All administrative duties must be executed within turnaround times;
  • Ensure that the principles of FAIS and FICA are applied.

Technology

  • Use the CRM system;
  • Use the platform portals;
  • Full working knowledge of Microsoft Office, including Word and Excel.
