 The Fleet Supervisor is responsible for the day-to-day supervision and coordination of the regional fleet to ensure vehicles are safe, available, compliant and operationally ready to support distribution activities and customer service requirements.

The role is accountable for fleet utilisation, vehicle inspections, driver compliance, fleet scheduling and the coordination of maintenance activities within the region. Working closely with Distribution, Warehouse Operations, the National Fleet & Maintenance Manager, Transport Service Providers and Drivers, the Fleet Supervisor ensures fleet assets are effectively managed to maximise vehicle availability, minimise downtime and support safe, reliable and cost-effective transport operations.

The incumbent contributes to operational excellence by maintaining fleet compliance, monitoring fleet performance and promoting safe vehicle operations across the region.

Key Accountabilities & Outputs

Fleet Operations

  • Supervise the daily operation of the regional fleet to ensure vehicles are available and operationally ready.
  • Coordinate vehicle allocation in line with distribution plans and operational priorities.
  • Monitor fleet utilisation and recommend actions to improve asset productivity.
  • Ensure fleet resources support customer service and operational requirements.
  • Respond to fleet-related operational issues to minimise service disruption.
  • Monitor fleet availability and report operational performance.
  • Promote efficient utilisation of fleet assets across the region.

Vehicle Availability & Maintenance Coordination

  • Conduct daily fleet inspections to verify vehicle roadworthiness and operational readiness.
  • Coordinate scheduled servicing and preventative maintenance with approved service providers.
  • Report vehicle defects and monitor completion of maintenance activities.
  • Minimise vehicle downtime through effective maintenance planning.
  • Verify maintenance work completed before vehicles return to service.
  • Maintain accurate maintenance records.
  • Support national fleet maintenance initiatives.

Driver Compliance & Fleet Safety

  • Ensure drivers comply with company transport policies and legislative requirements.
  • Verify that drivers hold valid licences and Professional Driving Permits (PrDPs).
  • Conduct routine vehicle and driver safety inspections.
  • Investigate vehicle incidents and report findings.
  • Promote safe driving behaviour through coaching and awareness.
  • Ensure vehicle inspection checklists are completed daily.
  • Support fleet safety initiatives across the region.

Fleet Compliance & Administration

  • Maintain accurate fleet records, licences and compliance documentation.
  • Monitor vehicle licensing, permits and regulatory requirements.
  • Ensure fleet documentation is complete and readily available.
  • Support fleet audits and compliance inspections.
  • Monitor fleet-related statutory requirements.
  • Ensure fleet administration complies with company policies.
  • Promote disciplined fleet governance.

Fuel Management & Cost Control

  • Monitor regional fuel consumption and identify unusual usage patterns.
  • Investigate excessive fuel usage and recommend corrective actions.
  • Monitor fleet operating costs and report significant variances.
  • Support initiatives that improve fleet operating efficiency.
  • Verify supplier invoices where applicable.
  • Promote responsible use of fleet assets.
  • Support regional cost optimisation initiatives.

Fleet Performance Reporting

  • Prepare daily, weekly and monthly fleet performance reports.
  • Monitor fleet KPIs including availability, downtime, utilisation and maintenance performance.
  • Analyse regional fleet trends and recommend operational improvements.
  • Maintain accurate fleet records and performance information.
  • Support management reporting requirements.
  • Provide fleet performance insights to regional management.
  • Monitor implementation of fleet improvement actions.

Continuous Improvement

  • Identify opportunities to improve fleet utilisation and operational efficiency.
  • Support implementation of fleet improvement initiatives.
  • Promote standardised fleet operating practices across the region.
  • Assist with implementation of new fleet technologies and processes.
  • Support fleet optimisation projects.
  • Encourage innovation within fleet operations.
  • Drive continuous improvement across regional fleet activities.

Stakeholder Management

  • Build effective relationships with Warehouse Operations, Distribution, Drivers, Workshops and external service providers.
  • Coordinate fleet activities with operational stakeholders.
  • Communicate fleet issues and operational risks proactively.
  • Support customer service through effective fleet coordination.
  • Promote teamwork and collaboration across Supply Chain functions.
  • Provide operational support to the National Fleet & Maintenance Manager.
  • Foster positive relationships with internal and external stakeholders.

Qualifications and Experience

Minimum Qualifications

  • Grade 12 / Matric.
  • Diploma in Logistics, Supply Chain, Transport Management or a related discipline (advantageous).
  • Valid Code 10 or Code 14 driver's licence (advantageous).
  • Computer literacy, including Microsoft Office.
  • Working knowledge of transport legislation and fleet operations.

Ideal Qualifications

  • Diploma or Degree in Logistics, Transport Management or Supply Chain Management.
  • Fleet Management qualification.
  • Transport Safety or SHEQ qualification.
  • Fleet Management System training.
  • First Aid certification (advantageous).

Minimum Experience

  • Minimum 5 years' experience in fleet, transport or logistics operations.
  • Minimum 2 years' supervisory experience.
  • Experience coordinating commercial vehicle fleets.
  • Experience managing fleet maintenance activities.
  • Experience monitoring fleet compliance and driver performance.
  • Experience using Fleet Management or Transport Management Systems.
  • Experience within an FMCG, manufacturing or distribution environment.

Ideal Experience
