Role Overview

This position is based at Voermol Feeds within the Human Capital Department and reports to the People Specialist. The role is responsible for the day-to-day monitoring, administration, and integrity of the site’s Time and Attendance System. Key duties include resolving technical system faults, verifying and processing attendance data, preparing files for payroll transfer, generating reports, and responding to queries from employees and line managers.

This role demands a high degree of accuracy and confidentiality, adherence to strict weekly and monthly payroll deadlines, and occasional out-of-hours work during payroll cut-off periods, system downtime, or audits.

Purpose of the Role

To efficiently execute clerical activities related to monitoring and maintaining the Time and Attendance System by addressing technical functionality issues, verifying and processing attendance information, preparing payroll transfer files, extracting reports, and managing enquiries.

The role is accountable for the accuracy, completeness, and timeliness of time and attendance data submitted for payroll processing, maintaining reliable system functionality and records, and delivering clear, well-substantiated information to employees, line managers, and auditors.

Key Responsibilities

System Maintenance and Administration

  • Contact service providers to report faults and communicate the urgency of technical support required to restore system functionality.
  • Implement manual recording procedures when system downtime exceeds specified thresholds.
  • Utilise software tools to create and format operational reports.
  • Verify the accurate input of employee information into relevant system fields.
  • Identify and report malfunctioning clock stations.
  • Ensure new employees receive access cards and that exiting employees are removed from the payroll file.

Information Verification and Processing

  • Check and validate time and attendance data, ensuring accuracy in calculations and totals.
  • Distribute attendance information to relevant sections to identify, check, and resolve anomalies between input data and physical records.
  • Prepare and convert time and attendance files for transfer to the payroll system.

Time and Attendance Reporting and Recordkeeping

  • Generate a variety of reports detailing employment conditions such as overtime and standby, forwarding these to relevant line departments.
  • Provide statistical information on overtime, leave, absenteeism, and other attendance metrics from the system database.
  • File and label documentation appropriately, ensuring secure storage in designated locations.

Communication and Support

  • Receive and interpret enquiries or queries, accessing system records as required.
  • Provide clear explanations regarding specific calculations, referencing procedures, agreements, and statutory provisions.
  • Access source documentation, procedures, and instructions to respond to audit queries effectively.

Qualifications and Experience

Qualifications

  • Matriculation Certificate (Grade 12).
  • Relevant Bachelor’s Degree or National Diploma in Human Resources Management or Administration.
  • Payroll Certificate (desirable, but not essential).

Essential Experience

  • Minimum of two years’ experience with system administrative applications.
  • Experience working with Time and Attendance or clocking systems, including data verification and anomaly correction.
  • Experience preparing and transferring files to payroll systems while adhering to strict payroll deadlines.
  • Proven ability to generate reports and respond to queries from employees, line managers, and auditors.
