Junior Bookkeeper

Job Purpose
To maintain accurate accounting records and ensure the timely processing, reconciliation,
control, and reporting of all financial transactions. The Junior Bookkeeper is responsible for
bookkeeping functions up to Trial Balance level, management of cashbooks, creditors
administration, statutory compliance, inventory reporting, and management reporting.
Minimum Requirements
- Certificate in Bookkeeping to Trial Balance.
- Minimum of 5 years' relevant bookkeeping or accounting experience.
- Proven experience processing accounts to Trial Balance.
- Strong experience in creditors, cashbook management, reconciliations, and month end
- procedures.
- Intermediate to Advanced Microsoft Excel skills.
- Experience with accounting systems and SARS eFiling.
- Strong understanding of accounting principles and financial controls.
Key Responsibilities
- Manage cashbooks, invoice processing, payment processing, banking administration,
- and bank reconciliations.
- Update cashbook payment schedules and relevant financial spreadsheets.
- Ensure company vehicle licences are renewed and maintained on schedule, and
- update the licence renewal register.
- Ensure all traffic fines are settled and accurately recorded in the traffic fines register.
- Provide relief support for the Cashbook Clerk when required.
- Monitor bank balances, cash flow requirements, and investment transfers.
- Reconcile credit cards, debit cards, and petty cash accounts, ensuring supporting
- documentation is complete and accurate.
- Prepare accounting journals as required.
- Manage foreign supplier payments and maintain supporting documentation.
- Process and reconcile foreign receipts.
- Prepare Bankfin journals.
- Perform ad hoc PRP administrative duties.
- Prepare and distribute sales reports to relevant stakeholders.
- Resolve supplier account queries and maintain positive supplier relationships.
- Prepare monthly accrual journals and maintain supporting documentation files.
- Conduct detailed analysis of municipal accounts, vehicle and forklift fuel usage,
- maintenance expenses, and other operational costs.
- Assist with quarterly stock counts and maintain all stock take documentation.
- Prepare and maintain the cashbook VAT audit file.
- Prepare audit files relating to travel and entertainment expenses, general
- maintenance, and other assigned areas.
- Maintain organised filing systems, internal controls, and financial records. Ensure
- records are retained for a minimum of seven years in accordance with company
- policy and applicable legislation.
- Process invoicing and credit notes for Branch 29.
- Verify, file, and securely maintain all import and export documentation.
- Perform ad hoc finance, accounting, and administrative duties as required.
- Competencies and Skills
- Intermediate to Advanced Microsoft Excel skills.
- Sound bookkeeping knowledge up to Trial Balance level.
- Accounts Payable and Accounts Receivable experience.
- Working knowledge of VAT compliance.
- Strong analytical, reporting, and problem-solving abilities.
- Excellent written and verbal communication skills.
- High attention to detail and accuracy.
- Ability to work independently and collaboratively within a team.
- Deadline-driven with strong organisational and time-management skills.
