The Payroll Co-Ordinator is responsible for the end-to-end coordination and execution of payroll operations across multiple companies within the Dream Hotels & Resorts portfolio. This role ensures employees are paid accurately and on time while maintaining legislative compliance, providing payroll expertise to the business, and continuously improving payroll processes.
The successful candidate will serve as the primary point of contact for payroll administration, partnering closely with People, Finance and Operations to ensure payroll excellence.
Responsibilities:
Payroll Management
- Coordinate and process monthly payrolls across multiple legal entities.
- Ensure payroll is processed accurately and within agreed timelines.
- Review, validate and capture payroll inputs including:
- New appointments
- Promotions
- Salary increases
- Allowances
- Overtime
- Leave
- Bonuses
- Commission
- Terminations
- Garnishees
- Perform payroll reconciliations before final processing.
- Generate bank files for payroll payments.
- Ensure payroll reports & journals reconcile with Finance requirements.
Payroll Administration
- Maintain accurate employee payroll records.
- Administer employee cost-to-company structures.
- Manage employee benefits, deductions and statutory contributions.
- Administer leave within the payroll system.
- Maintain employee master data within SAGE 300 People.
- Manage ESS payroll-related updates.
Legislative Compliance
- Ensure compliance with:
- BCEA
- Income Tax Act
- SARS legislation
- UIF
- SDL
- PAYE
- Prepare and submit:
- EMP201
- EMP501
- IRP5 certificates
- Ensure legislative changes are implemented within payroll processes.
- Assist during payroll audits.
Reporting & Analytics
- Produce accurate payroll reports for:
- Finance
- Executive Management
- Operations
- HR
- Analyse payroll trends and variances.
- Prepare payroll reconciliation reports.
- Generate ad hoc reports using Excel and SAGE reporting tools.
- Maintain payroll dashboards where required.
Employee Support
- Serve as the primary contact for payroll-related queries.
- Resolve payroll discrepancies professionally and within SLA.
- Provide guidance on:
- Payslips
- Leave
- Tax
- Deductions
- Benefits
- Payroll policies
Systems & Process Improvement
- Maintain integrity of payroll systems.
- Identify opportunities to improve payroll processes.
- Assist with payroll system testing and upgrades.
- Ensure accurate payroll documentation and audit trails.
EXPERIENCE AND QUALIFICATION
- Grade 12 (Matric)
- Diploma or Degree in Payroll, HR, Finance or Accounting
- Payroll Administration Certification (advantageous)
- Sage 300 People Certification (advantageous)
- Minimum 2– 4 years payroll administration experience.
- Minimum 2 years coordinating payroll independently.
- Experience processing payroll across multiple companies.
- Hospitality payroll experience advantageous.
- Experience with large payrolls (300+ employees preferred).
- Experience with payroll reconciliations and audits.
- Experience with SARS submissions.
