CORE PURPOSE OF JOB

To provide a secretarial, financial and logistical support service for the Innovation Office

 

KEY PERFORMANCE AREAS

The Innovation Office at the Nelson Mandela University is responsible for the identification, protection, and management of the Nelson Mandela University’s intellectual property (IP). The Innovation Office manages a number of projects and is involved in spin-off and start-up companies. The Secretary for the Innovation Office will form a key part of the team responsible for secretarial, financial, and logistical support for the office.

KEY PERFORMANCE AREAS:

  • Secretarial and administrative support
  • Contracts filing and information management
  • Patents filing and IP register management
  • Budgeting and financial administration
  • Assist Nelson Mandela University spin off companies with administrative tasks

  • In-depth understanding of office administration practices
  • Able to work across multi-disciplinary areas
  • Able to work with academics, professional support staff and students from a wide range of disciplines
  • Strong organisational skills
  • Budgeting and financial management skills
  • Ability to handle multiple tasks given by different people and to prioritise tasks
  • Understanding of the basic patenting process and key milestones for patent applications
  • Experience in event management and logistics for meetings, workshops and seminars
  • Ability to work independently as well as with teams
  • Computer literate in MS Office
  • Strong verbal communication and interpersonal skills
  • Ability to maintain confidentiality
  • Be customer focussed, discrete and recognise confidential information with integrity
  • Ability to work under pressure
  • Good public relations skills

DESIRABLE ADDITIONAL QUALITIES:

  • Trustworthy and able to work without daily supervision; excellent team work ethic; values honesty, integrity and transparency.
  • Excellent knowledge and several years of experience working with an enterprise resource planning system, preferably the ITS Integrator system
  • A degree or diploma in a relevant area will be an advantage but is not a requirement

REQUIREMENTS

 

MINIMUM REQUIREMENTS

  • Matric
  • Five years relevant experience in a similar role, where core competences have been gained
