JOB DESCRIPTION
Position: Administrative Receptionist - KwaZulu-Natal (KZN) Region
Department: Finance
Main Purpose
The Administrative Receptionist will manage regional and national landlines and perform various administrative functions at our KwaZulu-Natal (KZN) office.
The primary responsibilities of the Administrative Receptionist include:
- Answering and directing phone calls in a polite and professional manner
- Greeting visitors warmly, screening all individuals entering the premises
- Maintaining a clean and organised reception area and common spaces at all times
- Operating standard office equipment, including printers and toners
- Recording detailed and accurate records of visitor requests and incoming calls
- Receiving deliveries and sorting and distributing incoming mail
- Managing board room bookings
- Metro-filing and organising workspace
- Assisting with issuing fuel requisition slips and reconciling when the Office Assistant is unavailable
- Capturing licences for new drivers
- Providing general assistance with office functions and gatherings
- Assisting with facilities (office) administration tasks, including communicating with KZN staff on office-related matters
- Managing stationery orders and issuing stationery to staff
- Issuing slips for the Builders Account
Work Conditions
- Office-based
- Extended and irregular work hours may be required to meet deliverables
Competencies and Minimum Requirements:
- Grade 12 or equivalent
- Relevant degree/diploma is advantageous
- 2-3 years of relevant experience in an office environment
- Experience working within a financial and procurement department is beneficial
