PURPOSE OF JOB


To take responsibility for the efficient daily operations and the financial reporting of the assigned
property portfolio to increase property value and satisfy tenant requirements.
KEY PERFORMANCE AREAS


Centre Management

  •  Monitor market trends and activities
  •  Develop a comprehensive five-year maintenance strategy
  •  Research and propose refurbishment initiatives
  •  Oversee project execution with hands-on management
  •  Conduct annual building status assessments and uphold quality standards

Reporting

  • Delivers accurate and timely reports in the agreed format
  • Conducts monthly analysis of income and expenses
  • Tracks and monitors turnover rentals
  • Performs quarterly operating cost analysis against approved forecasts
  • Oversees monthly municipal and general recoveries

Planning & Budgeting

  • Annual Budget Preparation & Completion – Develops and finalizes budgets on a yearly basis.
  • Quarterly Rental Reviews – Conducts regular assessments of rental rates to ensure optimal
  • pricing and profitability.
  • Business Plan Development – Supports the creation and refinement of strategic business plans
  • for the Centre(s).
  • Performance Monitoring – Performs quarterly reviews to track results and ensure financial
  • targets are met.

Quarterly Expenditure / Audits

  • Defines and Drives Capex/TI Strategy – Establishes and communicates the Capex and TI
  • philosophy for each building, ensuring alignment with business objectives.
  • Approves TI Standards – Reviews and approves Tenant Improvement specifications as
  • recommended by the Project Manager.
  • Capex Authorization – Approves Capital Expenditures within delegated authority levels.
  • Policy Compliance – Ensures adherence to Capex policies, procedures, and financial
  • guidelines.
  • Operating Cost Forecasting – Estimates new operating costs associated with Capex and TI
  • projects.
  • Cost Recovery – Guarantees the recovery of operating costs in line with Lease agreements.
  • Debtors & Creditors Management
  • Collaborate with Debtors and Leasing teams to evaluate accounts, decide on corrective
  • measures, and approve required actions.
  • Lead Credit Control efforts—tracking arrears, managing legal escalations, and processing
  • write-offs.

Customer Liaison

  • New Tenants

Tenant Management

  • Tenant Relations & Communication – Manages correspondence and interactions with
  • tenants as needed, ensuring prompt and professional responses.
  • Lease Management & Occupancy – Oversees timely lease renewals and maximizes
  • occupancy by leasing vacant spaces, ensuring they are maintained in a presentable
  • condition.
  • Tenant Mix Optimization – Strategically curates and manages tenant mix to enhance
  • property appeal and performance.
  • Stakeholder Engagement – Builds and maintains strong relationships with tenants, the public,
  • and external organizations through networking and collaboration.

New Tenants

  • Determines and Recommends Leasing Policies.
  • Evaluates and advises on leasing mandates to optimize property occupancy and returns.
  • Lease Negotiation & Tenant Relations
  • Manages lease agreements and fosters strong tenant relationships to ensure satisfaction and
  • retention.
  • Lease Administration & Documentation
  • Oversees new lease execution and maintains accurate records for compliance and tracking.
  • Oversight of New Installations & Modifications
  • Supervises and coordinates new installations, ensuring adherence to property standards and
  • tenant requirements.

Existing Tenants

  • Timely Lease Agreement Renewals – Ensures lease agreements are renewed promptly and
  • efficiently.
  • Tenant Liaison & Public Relations – Maintains strong relationships with tenants and handles
  • public interactions professionally.
  • Promotions Coordination – Organizes and oversees center promotions to drive foot traffic and
  • sales.
  • Tenant Performance Analysis – Regularly evaluates tenant turnover, stock rotation, and
  • merchandising to identify growth opportunities and trading challenges.
  • Turnover Tracking – Accurately records and monitors tenant sales performance for reporting
  • and strategic planning.

Expense Control

  • Review, verify, and authorize account payments
  • Approve orders for cleaning supplies, consumables, electrical services, and general
  • maintenance
  • Manage municipal payments and oversee recoveries
  • Monitor contractor performance and ensure cost-effective service delivery
  • Financial Management
  • Generate and analyze monthly financial statements and reports
  • Develop and maintain precise budgets with detailed financial reporting

Public Relations
Public Relations & Marketing:

  • Establishes and maintains strong public relations to enhance the Centre’s reputation.
  • Develops and implements strategies to attract visitors and tenants.
  • Creates and manages advertising materials to promote the Centre.
  • Motivates and supports tenants in improving their services and customer experience.

Facility Management:

  • Oversees all repairs and maintenance to ensure the Centre remains in optimal condition.
  • Ensures compliance with occupational health and safety regulations.

Security & Safety:

  • Manages the security of all Centre facilities, including regular inspections and system
  • upgrades.
  • Develops and implements security action plans, policies, and procedures.
  • Supervises security officers and cleaning staff to maintain safety and cleanliness
  • standards.
  • Establishes and maintains an emergency preparedness program.

Administration & Tenant Relations:

  • Ensures accurate management reporting and maintains proper records.
  • Fosters professional relationships with tenants, suppliers, contractors, and trade
  • professionals.
  • Supervises Centre personnel to ensure high performance and efficiency.
  • Performs additional duties as required or assigned
